Administrator/ Receptionist 

We are looking for an administrator with amazing people skills. We are looking for someone who can smile even when the pressures on, when the telephone is ringing and a customer is asking to make a payment at the same time. We need someone who can manage customer concerns and give out the right advice. Not only that but you must be brilliant at following up, and have a system to remember everything! 

This is not a position that requires supervision as you will be expected to work independently, although training will be given to ensure you’re comfortable in your role. Don’t worry nobody expects you to settle in wholly for at least 6 months . 

Here’s what you need to know: 

  • It’s a part time position zero hours per contract (with the aim of building to a permenant 3 days per week)) 
  • Available to start immediately 
  • We’re based in Risca 
  • We are located 3 steps off a bus stop! 
  • We are looking for somebody who can support the business with holiday cover during term time, which includes Saturdays, and late evenings.

Here’s what your role will involve, but is not exclusive to: 

  • Cashing up in the evening 
  • Making appointments 
  • Responding to emails 
  • Responding to Social Media messages 
  • Filing and processing client’s notes 
  • Collating client’s notes for future clinic dates 
  • Maintaining the communal areas 
  • Assisting with opening and closing the clinic 
  • Meeting and greeting clients and suppliers 
  • Photocopying, scanning and organizing filing systems 
  • Coordinating practitioner clinics 
  • Managing cancellations and waiting lists 
  • Managing daily tasks 
  • Making teas and coffees for clients 
  • Bookkeeping (not essential) 
  • Comfortable at selling, as retail products are available. We’re not asking for a hard sell (that’s not our style), we simply want you to advise clients with a passion. (We’ll make sure you can try things out first so you can talk from the heart). 

How about training & qualifications? 

  • You must have a competent level of using Microsoft office – saving files, using word and excel so that you can update and create documents. 
  • Have a clear understanding of organising and managing files and emails 
  • Competent at scanning and using a CRM system. We can train you on our systems, so don’t worry about not knowing which systems we use, although previous use of a CRM is desirable. It’s simply important that you’re comfortable at using a computer 
  • Be cheerful & confident – and absolutely committed to always doing the very best job possible 
  • We do ask for a general understanding of business administration on the computer, as computer use will take up the majority of your role.
